Privacy Policy
Privacy Summary
Your content stays under your control
Your notes and calendar content are stored on your device and in your personal iCloud account. Health information is accessed through Apple Health, and CROSSNote’s health-related calculations are performed locally on your device.
We minimize data collection
CROSSNote is designed to collect as little data as possible. Most processing happens locally on your device.
AI uses external services
AI features may send your request and relevant context to external service providers. That information may contain personal data included in your request or its context. Using a proxy does not guarantee that the content is anonymous.
No model training by OpenAI
Under OpenAI’s current API data policy and CROSSNote’s account configuration, data submitted through the OpenAI API is not used to train or improve OpenAI’s models. This is separate from the retention conditions described below.
Limited analytics only
We use analytics services, such as Mixpanel, to understand app usage and improve performance. This does not include your personal content or health data.
Apple handles subscription payments
Apple processes App Store purchases and payments. CROSSNote uses purchase-entitlement information to determine your subscription access and does not receive your payment-card details.
You control your information
You can manage content stored by CROSSNote through the App and your iCloud account. Apple Health data and App Store subscriptions are managed separately through Apple.
1. Introduction
This Privacy Policy describes how CROSSNote (“CROSSNote”, “the App”) handles your information. CROSSNote is operated by OS3e Technologies (“we”, “us”, or “our”).
We are committed to protecting your privacy and designing the App in a way that minimizes data collection and maximizes your control over your information.
If you have any questions, you can contact us at: support@crossnote.net
2. Data We Collect
CROSSNote is designed to minimize data collection. Most of your content is stored locally on your device and, where applicable, in your personal iCloud account.
2.1 Content Stored on Your Device and iCloud
The following content is stored on your device and within your personal iCloud account:
- Notes and written content.
- Calendar data and associated information.
We do not store this content on our own servers.
Health and wellness information, including HRV, sleep, heart rate, and activity information, is accessed through Apple Health using HealthKit. CROSSNote’s health-related calculations, such as readiness, recovery, and stress indicators, are performed locally on your device.
CROSSNote does not maintain its own iCloud replica of your Apple Health data. The availability of health information on another device depends on the information available through Apple Health on that device.
2.2 Analytics Data
We may collect limited, non-sensitive analytics data using services such as Mixpanel. This may include:
- Feature usage.
- Interaction patterns.
- Performance metrics.
This data:
- Does not include your personal content.
- Does not include health data.
- Is minimized and pseudonymized where possible.
2.3 AI Interaction Data
When you use AI-powered features, your request and the context needed to provide the relevant functionality may be transmitted to external AI providers.
Depending on the feature, this information may include text you submit and relevant information from your notes, calendar, or health context. Personal information contained within that content may therefore be included in the request.
Requests may pass through a proxy service before reaching the AI provider. The use of a proxy does not, by itself, make the content anonymous or guarantee the removal of names or other identifying information within it.
Some conversational features may use response identifiers to continue a conversation with an external AI service.
The conditions relating to AI processing, model training, and retention are explained in section 6.
2.4 Purchases and Subscription Information
Subscriptions are purchased through Apple’s App Store. Apple processes the purchase, payment, renewal, cancellation, and any applicable refund.
CROSSNote does not receive your payment-card details or Apple Account password.
The App uses subscription-product information and verified purchase-entitlement information provided by Apple through StoreKit to determine which subscription access is available to you.
The last known commercial access status is stored locally so the App can display your access while refreshing information from Apple.
The start date of the separate Plus Preview period is synchronized using Apple’s iCloud key-value storage. This is commercial-state information, not health data.
3. How We Use Data
We use data strictly to:
- Provide the core functionality of the App.
- Generate insights and visualizations.
- Improve app performance and usability through analytics.
- Enable AI-powered features.
- Determine subscription access and manage the separate Plus Preview period.
We do not use your data for advertising.
We do not use your data for profiling unrelated to the App’s functionality.
4. Data Storage and Security
Your notes, calendar content, and associated personal content are primarily stored:
- On your device.
- In your personal iCloud account.
Health information is accessed through Apple Health, and CROSSNote’s health-related calculations are performed locally, as described in section 2.1.
Apple’s applicable security systems protect information handled through its services. You retain control over your device permissions and your iCloud account.
We do not maintain centralized databases of your personal or health content.
Information transmitted for external AI processing is handled separately from local and iCloud storage, as described in sections 2.3 and 6.
5. Third-Party Services
CROSSNote relies on a limited number of third-party services.
Apple — iCloud and HealthKit
iCloud is used for supported content storage and synchronization. HealthKit is used to access health information available through Apple Health.
Information handled by Apple is subject to Apple’s applicable privacy policies and service conditions.
Apple — App Store and StoreKit
Apple processes subscription purchases and payments. StoreKit provides the purchase-entitlement information used by CROSSNote to determine subscription access.
Apple’s Privacy Policy is available at: https://www.apple.com/legal/privacy/
AI Providers and Proxy Services
External AI providers, such as OpenAI, are used to power AI features. A proxy service may route requests between CROSSNote and the provider.
Requests can include the information described in section 2.3. Processing and retention depend on the applicable service and configuration, as explained in section 6.
OpenAI’s API data controls are described at: https://developers.openai.com/api/docs/guides/your-data
Mixpanel — Analytics
Mixpanel is used to understand app usage and improve performance.
Only limited, non-sensitive analytics data is collected, as described in section 2.2.
6. AI and Data Processing
AI features may require external processing of your request and relevant context. Local storage of your notes or health information does not mean that information included in an AI request remains exclusively on your device.
A proxy may be used to route requests, but it does not guarantee complete anonymity of the submitted content.
OpenAI and Model Training
Under OpenAI’s current API data policy and CROSSNote’s account configuration, data submitted through the OpenAI API is not used to train or improve OpenAI’s models.
CROSSNote has not enabled the optional sharing of API data with OpenAI for model training or improvement.
Retention Is Separate from Training
The exclusion of data from model training does not mean that data is never retained.
OpenAI may retain information under its applicable API data policies, including for security, abuse monitoring, and the operation of features that maintain conversation state.
Retention depends on the API functionality used and the applicable service configuration. CROSSNote does not promise zero retention for all AI requests.
Any other external AI or proxy service is subject to its own applicable processing and retention conditions. The statement above about OpenAI’s model training does not automatically apply to other providers.
AI-Generated Results
AI-generated outputs are provided for informational purposes only and may contain errors.
7. Data Retention and Deletion
Content Stored by CROSSNote
You can manage and delete content stored by CROSSNote through the available App, device, and iCloud controls.
Deleting local information, deleting information from iCloud, and deleting the App are different actions. Their effects depend on the action taken and your storage and synchronization settings.
Apple Health Information
Health information held in Apple Health is managed separately through Apple Health and its permissions.
Removing CROSSNote does not, by itself, delete the underlying information held in Apple Health.
AI Interaction Information
Deleting content from CROSSNote or iCloud does not necessarily delete information previously transmitted to an external AI service.
External processing and retention are subject to the applicable provider’s terms and service configuration. Contact us if you need assistance with a request concerning information processed through an AI feature.
Analytics Information
Analytics data may be retained by third-party providers according to their applicable retention policies.
Purchases and Subscriptions
App Store purchase and billing records are maintained by Apple under its applicable terms, privacy policies, and legal obligations.
Deleting CROSSNote or your content does not cancel an App Store subscription or delete Apple’s purchase records.
Cancelling a subscription does not, by itself, request deletion of your notes or other content. Subscription cancellation is managed through Apple’s subscription settings.
8. Your Rights (GDPR)
If you are located in the European Economic Area (EEA), you have rights including:
- Access to your data.
- Correction of your data.
- Deletion of your data.
- Restriction of processing.
In most cases, you can manage content stored on your device or in your iCloud account directly through the available App and Apple controls.
Requests concerning Apple Health information or Apple’s purchase and billing records may also require action through the relevant Apple service.
For questions or assistance concerning information processed by CROSSNote or its external service providers, contact: support@crossnote.net
9. Children’s Privacy
CROSSNote is not intended for children under the age of 13. We do not knowingly collect personal data from children.
10. Changes to This Policy
We may update this Privacy Policy from time to time. Changes will be posted within the App or on our website.
Your continued use of the App indicates acceptance of the updated policy.
